Mid-Hudson IPMS Scale Model Exhibition and Competion 2008 Show Report

The Hudson Valley Historical Miniatures Guild held their annual show at the Elks Lodge in Poughkeepsie, New York on 25 October 2008. The number of vendors was up from last year with several clubs sponsoring vendor tables for their members to exchange unwanted plastic for cash. The judging followed the usual IPMS practice with awards for first, second, third, and out of the box (OOB). The contest rules followed the recent IPMS trend that extends the no sweeps rule to include the OOB award, so there were lots of different individuals garnering awards. Though Saturday’s weather was a washout, the fall colors were still spectacular, making the drive an event in itself. The standout at this show was a very large scale snow speeder.

Region 1 Update 11-5-08

Hi everyone,

I had hoped to get this out about a week or so ago, but ran into technical difficulties. And speaking of technical difficulties, I’m losing my home computer for a few days. I’ll be able to check e mail each day, but will not have access to my files until I get the machine back from the witch doctor in a few days.

The hot topic this time of year is rechartering. We’re about a month into it, and I haven’t heard about anyone having a problem, so I hope all is well. A few chapters have completed the process, and I’m guessing the rest will be submitting theirs shortly. The deadline is still 31 December, but be early and avoid the last minute rush. And if anyone doesn’t have a fact sheet to work with, has any questions, or needs help, let me know. But don’t miss the deadline!!

Attached, you’ll find an updated Approved Event listing that starts in 2009. If your event isn’t listed, it because I haven't received your chapters request for event approval yet. Contact me for approvals, incorrect listings, omissions, or whatever may be in error. And if I don’t hear from you, it only means I got it right!!!!!
I hear GraniteCon was a blast again. One of these years I have to get up to that one. It’s over five hours from here, and may have to be done as a weekend deal. I know the Mid Hudson show was good this year, as it’s the only one I’ll be able to be at this fall. There were some really nice models on the tables, and of course it rained!! It’s almost a given, if you go to Poughkeepsie, wear a rain coat. You’ll need it!!

Our region is continuing to grow. I hope to be able to announce another chapter joining our ranks shortly. I’ve had discussions with a yet unnamed group about chartering as a chapter. They’ll be a very nice addition to our ranks, and should be on board soon. More to follow……

IPMS is still looking for modelers to join the Reviewers Corps. It’s a cool deal as you get an item to use, build, read, or whatever, then write a review on it, and keep the item when you’re done. I’ve reviewed quite a number of things over the years, and would encourage you to consider it. If you’re interested in participating, contact IPMS 1st Vice President Dave Morrissette, who’s listed on the web site.

Region 1 chapter L.I.A.R.S has a new web site address. Check it out at
http://liarsclub.home.mchsi.com Their old site had been hosted at AOL, but that service has been dropped so they found a new provider. Check it out, it’s good!!
With that, don’t delay in getting your rechartering materials back, with the check!! And as always, please share this with the officers and members of your chapter.

Greetings Region 1 dudes and dudettes,

The big thing happening in IPMS-land is rechartering. All Region 1 chapters rechartering packages have gone out this past weekend to the Chapter Contacts. If your chapter hasn't received it yet, give me a shout, and I can resend it. Remember the window to get everything accomplished ends on 31 December. Many chapters are in really good shape, and all that's needed to complete the process is to mail your check to DLC Dick Montgomery. A few have some minor membership issues to overcome. Someone told me they wanted to wait until after their chapter elections to complete the Fact Sheet update. This really isn't necessary, as you can always amend your FS after your elections. The important thing to remember is that after the 31 December cut off date, if rechartering isn't complete, your chapter will be dropped. In the past all our chapters have gotten everything done well in advance, and I mention being dropped only in passing. And as always, if you're having trouble with any aspect of the process, let me know right away so I can help get you squared away.

The fall show season is almost upon us. If you look at the upcoming events schedule on the IPMS web site, you'll notice we only have a few events for the fall. As I mentioned before, it may be a good time for some of the spring events to look into moving into the fall to get a better balance in our schedule. With the current economic crisis effecting may of us we may see some drop off in event attendance both from the entrant and vendor stand point. This will be something I'll keep my eye on, and would ask all chapters that are hosting an event this fall to get the event numbers to me after the event. I'll share what I find with everyone at some point over the winter. On a similar note, I heard from Russ Keith, POC for our newest chapter IPMS Penobscot Valley Modelers, who said they were canceling their planned spring event. Russ said mainly it was due to the uncertain economic times. I hope they consider another event in the future, as we can always use another quality event in the Region. I won't be attending as many events as I normally do in the fall this year. I've had to pull some extra duty at work this fall due to serious illness of three of my staff members, and have to provide coverage at one of my facilities until I close for the season toward the end of November. I'd rather be going to the shows, but the OT will be nice!!

I received a very well done package in the mail yesterday from our hosts for next years Noreastcon, IPMS Niagara Frontier. From the looks of things, everything is proceeding nicely for what should be another great event hosted by these guys. And yes, there is a request for sponsorships in the package!! (You didn't think I'd miss an opportunity to hawk sponsorships, did you?) I'm looking forward to this event for a number of reasons, not the least is seeing a good number of folks from other regions. I believe we'll see a good attendance from our friends in Regions 2 and 4, not to mention a good showing of our friends from north of the boarder. And of course I'm looking forward to the Region 2 regional next year, to be hosted by our good friends at NJIPMS. I'll pass along more info on this event in a later Update.

With all that said, I'll close this by saying rechartering is now underway, don't get caught missing the deadline and if you have need for any help, just let me know. And as always, please share this with the officers and members of your chapter.

Intrepid headed back to NYC

After two years of renovations the Intrepid is New York City bound again.

Freshly painted in naval "haze gray" and once again shipshape from stem to stern, the fabled survivor of Pacific war battles and five kamikaze suicide attacks will be towed up New York Harbor and slotted into its familiar Hudson River berth on Oct. 2.

The floating military and space museum will reopen to the public on Nov. 8, with a large celebration on Veterans Day, Nov. 11.

THE MINUTES
by Bobby P.
August was a bit of a washout with the rain storm hitting during the rush hour, but we had some people showing up for the contest and BBQ anyway! We had 21 members and one guest bringing in only 11 models.

EDITOR’S NOTE: The displays have been on the light side the last couple of months. Our numbers are seriously off from previous years. How about a grand showing for the last quarter of 2008?

AUGUST MEETING!!!
CONTEST NIGHT 3RD QTR 2008: We had the third installment of the annual contest. The votes are in. Your last chance to rack up some extra votes will be in November, the fourth quarter contest.

RESIN CASTING CLINIC: One of our more recent members, Matt Leone has spent quite a bit of time, effort, and money assembling an impressive rig for resin casting. Matt presented us with a very thorough clinic on the ins and outs of resin casting. Very educational!

SUMMER BBQ: Since the turn out for the meeting was off, it was pretty easy to maintain order over the food. A light team of officers worked together to make this a wonderful event. Once again we have to thank Vinny, without his efforts we wouldn’t be able to even have such an occasion. Special thanks to the extra hands who helped things move smoothly and to anyone who helped make our third annual bbq a success. We’re looking forward to next year! (There will be no repeat BBQ for September this year.)
You can see pics from each meeting on Gordon’s blog:
http://gmobile17.blogspot.com/
On the agenda: September
TAN MODEL NIGHT: This is another one of our theme nights. All you have to do is bring something in that’s tan. Simple as that! Be prepared to, maybe, tell the group a couple words on your work.

SWAP NIGHT: Need some space? Have stuff you would like to part with? Bring in goodies to trade or sell to the September meeting. It’s also a good idea to bring some cash. You never know when someone might bring in that grail kit you’ve been looking for and there’s no tab at this bar!
Upcoming Events
Model Pledge: This January we are debuting a new activity called the Model Pledge. This was suggested by VP Ray K. The idea is to get people building again and to get the numbers up. So each member would be asked to bring in an unbuilt model that night and will pledge to finish it by year’s end. If you do so, you will get a little bonus in the super raffle at the end of the year.
Our next meeting will be on September 19, 2008.

Region 1 Update 09-03-08

Greetings Region 1ites!!

The topic for this update is Rechartering. Yup, it's nearly that time again!! Either on or a little before 1 October, I'll start sending out the fact sheets to all chapter Contacts (CC's). If you've all been good, and have been updating them during the year, this should be a snap. If you haven't, now is a good time to dig them out, dust them off, and make any corrections that may be needed. If you lost it, let me know, and I'll send you the most recent copy I have on file for your chapter. You can use that to make your corrections and prepare.

Here's what everyone needs to be looking at this time around. Of course all officers must be up to date with IPMS membership, and the need for five (5) national members still is a prerequisite. As always, the five can be officers and vise versa. Another item that needs to be addressed is the Chapter Contact must be a current national member. Now would also be a great time to check your chapters membership status to ensure no one is getting close to the end of their membership cycle. It would make everyone's life much simpler if anyone who's expiration date is during the final part of the year to renew now and avoid the rush!!

During the past few years we've been working with the fact sheets Dick and I have asked you to make sure your meeting info, web site info and officer info is correct. This year, we're adding the task of ensuring all the Members at Large (MAL's) you have listed are actually members of your chapter, and aren't listed as officers in another chapter. Please look over your MAL list and add any new or not listed IPMS members, and delete all those that aren't members any longer, or list another chapter as home.

When the fact sheet arrives in a few weeks, you may note the use of color codes. Green means everything is a-okey-dokey, and all systems are go for a fast rechartering. Yellow denotes some possible issues that may slow things down, and red means you have some work to do it make things right. I would advise all chapters to get after the fact sheet upon reception, and make your payments to Dick as soon as you can get it done. Don't drag your feet because the rechartering window will close before you know it. And Dick will not be very forgiving if your stuff isn't done before the 31 December cut off. I'll be happy to work with any chapter that has questions, or issues that need to be resolved. Just ask, but not for an extension. There's a three (3) month window that's about to open. Please plan accordingly!!

I hear the 09 Noreastcon web site has some new information added, and more is on the way very shortly. You can find all the latest info at
http://www.noreastcon2009.com Our hosts are working hard to insure we have a dynamite event waiting for us, and we all know that means they'll need sponsorships. I hope all chapters are going to consider keeping our event one of the best in the country. But we'll talk about this again in the near future. You didn't think I was going to let you off that easy, did you?

The fall show season will be starting up soon. I'll be sending around the approved event schedule in the next update. You'll notice there are a few holes in it this year. Some long time events aren't on the schedule, so now would be a good time to consider opening up the spring schedule somewhat, and moving some of the glut of spring events into the fall for a more balanced schedule. If your chapter is willing to consider such a move, let me know and I'll be happy to work with you in getting a fall date. Or if your chapter doesn't host an event, and would like to, let me know.

Which brings us to the end, once again. get working on those fact sheets, and let me know if you need help. I'm here to help, which is why I make the BIG bucks!! As always, please share this with the officers and member of your chapter.

Speicher Update

From Hugh:

Master Sergeant Brian Allen, our point of contact in Iraq for model shipments, had to cut short his deployment for health reasons related to his long service as a paratrooper. Specialist First Class Steven Delong has taken over. Before he left, MSG Allen made a point to thank the BPMS for their many contributions, adding, “I always look forward to your boxes as they have some pretty interesting kits in them”. It’s hard to know if he meant the San Francisco street car model or the Gundam figures. Like the Master Sergeant, I too am amazed at the variety of contributions of kits, tools, and magazines that you donate. Thank you for your continued support.

Region 1 Update - Important Insurance Information

Hi everyone,

As you all know, there's been some discussions regarding the IPMS insurance. In my last update I mentioned that further information will be forthcoming. Well here we are, at the fourth coming!! Attached is the "Official" guidelines everyone needs to know regarding obtaining insurance for your event. It effects every IPMS chapter.

If your event is already approved, and listed on the website, you should have made your insurance needs known, and are past this stage. However, from this point foward, you'll find this document VERY important!! Please keep a copy handy for your show committee and Officer Corps. It spells out the correct way in obtaining the insurance. There will be NO deviation from this policy, and any deviation will mean you won't be insured. If there are any questions, please ask. I'll be happy to answer anything you're not sure of. If I can't answer it, I'll get you an answer pronto. It's easy to follow, and could mean the differance in being insured, and not.

You'll be hearing this message a few more times in the next few updates, as everyone needs to be on board with it. "I didn't know" won't get you where you need to be with this, so please, pay attention!! And again, ask if there are any questions!!

We now return you to our regularly scheduled pregramming!!
Semper Fi
Doug

Insurance Guidelines

In order for an event to be approved by IPMS/USA and to be considered an officially sanctioned IPMS/USA event, and to be eligible for coverage under the IPMS/USA insurance policy, all of the following conditions must be met.

  • The event must be hosted by a chartered IPMS/USA chapter.
  • If co-hosted, all co-hosts must be a chartered IPMS/USA chapter.
  • The names/logos of the hosting chapters must be the most visible symbols on all documentation regarding the event. This applies to any form of advertising, either digital or hardcopy.
  • Text identifying the hosting chapters must be more prominent than text identifying any supporting non-IPMS/USA group. This applies to any form of advertising, either digital or hardcopy.
  • The terminology “with the assistance of” shall not be permitted to appear on any advertisement or document related to the event, if that wording refers to a non-IPMS/USA entity. The wording that may be used is, “sponsored by”, or “supported by” when reference to a non-IPMS/USA entity needs to be made.
    • A sponsor’s name may be shown on event documentation in such a manner as to clearly indicate that the sponsor is a sponsor only, and clearly not a Host or Co-Host.
    • A sponsor’s logo may be shown on event documentation, but by size and placement, as well as text, must clearly indicate that the sponsor is a sponsor only, and clearly not a Host or Co-Host.
    • A sponsor’s logo should be located on all event documentation in the same area near the text identifying them as a sponsor. (Clearly, a sponsor’s logo and name should not appear at the top of the documentation, or in a font size or image size equal to, or exceeding that of the Host or Co-Hosts.
  • Only the logos of chartered IPMS/USA chapter and sponsoring or supporting entities shall be on any advertisement or documentation related to the event. The logo of the chartered IPMS/USA chapter(s) shall be more prominent and larger than a logo for the sponsoring or supporting entity.
  • “Other insured” must be identified and listed on the Event Submission Form.
    • What or who is an “other insured”? In the case of a mall, the management of the mall usually requires any partnership/owners or mortgage holders to be listed. A community facility, such as a Homeowner’s Association, Lodge, or Homeowner’s Meeting Facility, or a municipal facility owned by a city, usually requires the legal name of the city/town/Homeowner’s Association to be named. School districts often
require that the legal name of the school district to be listed as an “other insured”. Those club members who are negotiating the use/rental of a facility simply need to ask if the facility management wishes to be listed on the insurance policy.

Definitions

Host: a chartered IPMS/USA chapter.

Co-Host: a chartered IPMS/USA chapter which partners with one or more other chartered IPMS/USA chapters to organize and execute an event. There is no such thing as a Co-Host of an IPMS/USA event in which any group identified as a Co-Host is not a chartered IPMS/USA chapter.

Sanctioned IPMS Event: Any event hosted or co-hosted by chartered IPMS chapters for which an Event Submission Form has been submitted and approved. This submission process is
accomplished online at
http://www.ipmsusa.org/. Examples include, but are not restricted to the IPMS National Convention, IPMS Regional Conventions, local modeling events hosted by IPMS/USA chartered clubs, Make & Take events hosted by IPMS/USA chartered chapters, and ABC events hosted by IPMS/USA chartered chapters.

Sponsor: an entity which is not an IPMS/USA chapter, but which is providing support, in the form of finances, materials, services, or facilities, to those groups that are defined as a “Host”, “Co-Host” chapter(s) in the planning and execution of an event.

Supporter: an entity which is not an IPMS/USA chapter, but which is providing support, in the
form of finances, materials, services, or facilities, to those groups that are defined as a “Host”, “Co-Host” chapter(s) in the planning and execution of an event.

Other Insured: an entity that, in order for a chartered chapter to rent or use a facility, requires its name, or the names of certain individuals, to appear on the insurance paperwork as “other insured” entities.

Obtaining IPMS Insurance for Your Event

Only Chartered Chapters of IPMS/USA may apply for and obtain IPMS/USA insurance for an officially sanctioned IPMS/USA event.

Working in cooperation with your Regional Coordinator, select a date for your club’s event.

  1. After communicating with your Regional Coordinator and receiving RC approval for your chosen date, point your browser to http://www.ipmsusa.org/ , navigate to the Upcoming Events Page, and click on the Chapter Event Registration Form html link.
  2. Complete the online registration form and be sure to click the “submit” button.

That’s it! You have now initiated an automated process that will, without any additional communication or effort on your part, result in receipt of the IPMS insurance policy for your event, notify the Journal of your event and get your event listed in the Journal’s Upcoming Events Page, and get your event posted on the IPMS Upcoming Events page on the website. The person who submitted the online Event Submission Form will receive an email notification that the above items are all “in progress”.

Details and Behind the Scenes Information

Upon the submission of the online Event Registration Form an automated process is launched. An email is sent to the Director of Local Chapters which displays your submission. The DLC processes the form and forwards copies to the Journal staff, the IPMS Office Manager, the Regional Coordinator for the region in which the event will take place, and also the person who filed the submission with IPMS on the website.

Please note that the insurance policy is not mailed to the club or person who made the submission. The insurance policy, itself, is kept on file by the IPMS National Office Manager. If the facility for your event requires a hard copy of the Certificate of Insurance, please contact the National Office Manager. The Certificates are event specific and must be requested from the insurance company. It is best to give the insurance company 30 days to process the request.

If the facility does not require a hard copy of the certificate then the host chapter does not need to contact the national office manager.

If you have any questions or concerns you may contact:

  1. Your Regional Coordinator (email addy listed on the IPMS website)
  2. The Director of Local Chapters (email addy listed on the IPMS website)
  3. The National Office Manager (email addy listed on the IPMS website)
